Note: Most paying SchoolBooking customers will not need to take any action each year. UK licences are normally renewed by invoice, while international card subscriptions are typically reminded automatically. This article explains what happens only if a trial ends or a licence is not renewed and expires.
If your SchoolBooking licence expires, your account is not deleted immediately. Instead, it enters a grace period, giving you time to renew your subscription and continue using your existing data.
When your free trial ends:
Staff and users can no longer create new bookings or access licensed features.
Your SchoolBooking data is retained during the grace period.
You can purchase a licence at any time to restore full access.
If you decide to continue with SchoolBooking, simply contact our team and your existing configuration and data will be available when your licence is reactivated.
If a paid licence expires:
Access to licensed features is suspended.
Existing data is retained during the grace period.
No data is deleted immediately.
Once your licence is renewed, access is restored without needing to reconfigure your account.
Your SchoolBooking data is retained for 120 days after your licence expires:
First 90 days – Your account remains in a grace period, allowing you to renew your licence without losing your data.
Following 30 days – Your data is scheduled for permanent deletion.
After the full 120-day retention period, account data is permanently removed and cannot be recovered.
You can renew your licence at any time during the retention period.
Once renewed:
All of your settings are restored.
Existing users remain intact.
Historical bookings and events are preserved.
You can continue using SchoolBooking from where you left off.
